OPEN CALL - Administrative Assistant
The Los Angeles Forum for Architecture and Urban Design is looking for a part-time Administrative Assistant for approximately 20 hours/month. The schedule is relatively flexible, WFH/remote with the exception of monthly board meetings on the first Tuesday of each month, from 7 PM to 9 PM, and events.
We are an independent nonprofit organization that instigates dialogues on design and the built environment through public programming, exhibitions, and publications. Since 1987, we have engaged architects, artists, designers, urban thinkers, and the public in critical discourse about the role of architecture and design in the diverse and evolving city of Los Angeles with implications that extend globally.
An Administrative Assistant position with the L.A. Forum is a great way for early career designers, architects, and students to be introduced to the Southern California Architecture and Urban Design community.
Administrative Assistants report to the President and Vice President and are responsible for providing administrative support to Board members. These duties include but are not limited to the following:
DUTIES AND RESPONSIBILITIES
GENERAL ADMINISTRATIVE DUTIES
Assist Executive Committee members with administrative duties as needed
Assist VP of Membership in maintaining accurate membership records
Retrieve and distribute incoming postal mail
Provide training to volunteers, interns, and assistants, as needed
Order office supplies and monitor inventory
Produce mailing labels and reports
Manage general email correspondence
Assist Information Committee with the writing and distribution of our bi-weekly newsletter/DLA
Take attendance and minutes at monthly board meetings
OPERATIONS
Develop and maintain inventory of storage, archives, and office supplies when needed
Facilitate event registration, execution, and membership/event attendees’ demographic and contact data collection in coordination with Membership Committee
Coordinate volunteer and exhibition assistant schedule and tasks
Supervise exhibition assistants and volunteers during exhibition hours/events
INFORMATION
Update and maintain mailing lists (Mailchimp.com)
Update website as needed with VP of Information and President
Update and maintain social media accounts (Facebook, Instagram, Twitter, etc.) with Information Committee
DEVELOPMENT
Help manage and organize membership database
Collect demographic information for grants
Be knowledgeable of membership and sponsorship criteria and assist donors with the donation process
FINANCE
Manage PayPal and Square accounts and provide payment reports as needed
REQUIRED QUALIFICATIONS
Demonstrate strong written and oral communication skills
Demonstrate ability to work independently and on a team
Familiarity with Adobe Creative Cloud applications (Photoshop, Illustrator, InDesign, etc.)
Familiarity with Google Workspace applications (Docs, Sheets, Slides, etc.)
Ability and willingness to work some early mornings, evenings, and weekends
Ability to attend monthly board meetings and events throughout Los Angeles
SUPPLEMENTAL QUALIFICATIONS
Experience working for a non-profit organization
Basic HTML and CSS knowledge
Familiarity with Mail Chimp
COMPENSATION
Administrative Assistants receive $18.50 per hour.
There is a time commitment of approximately 20 hours per month.
